Intelligent Invoice Processing (Payments & AP)
Upload an invoice — or forward it by email — and Aclarian's document intelligence reads the document, extracts the vendor name, invoice number, line items, and amounts, and populates a draft payment form. Your team reviews the form, makes any corrections, and submits it through the normal approval workflow. What used to take 10–15 minutes of manual data entry per invoice now takes a quick review and a click.
This goes beyond basic invoice extraction. The system handles multi-page invoices, varying vendor formats, and scanned documents. And because it creates a draft — not a final submission — your team retains full control over what gets approved.
Budget Anomaly Detection (Budgeting & Forecasting)
Aclarian's AI continuously monitors budget activity across your funds and departments, comparing current spending against historical patterns. When it detects something unusual — an unexpected spike in a line item, a department trending toward an overage, a coding pattern that doesn't match prior fiscal years — it flags it with a severity classification so your team knows what needs attention now versus what to keep an eye on.

Where We're Heading
Aclarian's AI roadmap is organized around a single destination: a personal AI assistant for every user in the portal. Every capability we're building feeds into that vision. Here's what's in active development:
Smarter Payments — GL account prediction that learns from your team's coding history and suggests the right account string when a new invoice comes in. Email-to-form creation so vendors can submit invoices to a dedicated email address and a draft form is waiting when you log in. Contract extraction that pulls key fields — dates, amounts, vendor, terms — from uploaded PDFs.
Procurement Document AI Compliance Analysis — When a purchase requisition is submitted, the documents attached to it — vendor quotes, scope descriptions, insurance certificates — need to be reviewed against the procurement method's requirements. Today that review is manual: staff open each attachment, check it against policy, and flag what's missing. Aclarian's procurement document review automates this analysis. Administrators define what the AI should check for on each procurement method through a configurable instructions field (e.g., "There should be at least 3 vendor quotes, each containing a vendor name, quoted price, and description of goods or services"). When a user clicks "Generate AI Analysis," the system extracts text from the attached documents, evaluates them against those criteria, and returns a compliance summary: what's present, what's missing, and anything that looks unusual.
Proactive Budgeting — AI-generated budget suggestions based on your spending history, with confidence ratings so you know which predictions to trust. Monthly finance digests that combine anomaly alerts, budget pace tracking, and forecasts into a single view.
Financial Intelligence — Natural language reporting where you ask a question about your fund balances or vendor spend and get an answer, not a report builder. Continuous transaction monitoring that watches for patterns across the general ledger.
